In the modern workplace, the proliferation of collaboration tools has led to a daunting daily task for employees, causing fragmentation and exhaustion. A study called the "collaboration cleanse" aims to address this issue by helping employees manage their workload and increase productivity.

Participants in the study, conducted by Asana's Work Innovation Lab in collaboration with Amazon Web Services, were asked to list all the collaboration tools they used weekly, evaluate their effectiveness, and choose tools to eliminate for two weeks. Some participants were asked to eliminate half of the tools, while others were allowed to choose which and how many tools to eliminate.

The study, based on a "subtraction mindset," aimed to determine if encouraging people to eliminate tools would be more effective than adding more features or training. Previous research by the Work Innovation Lab had shown success in improving meeting effectiveness using this "subtraction" approach.

The results of the "collaboration cleanse" were mixed. While it increased participants' awareness of excessive tool use, it also led to feelings of helplessness and exhaustion due to external requirements, the complexity of removal, and a lack of autonomy.

The study underscores the need for organizational change to address the root cause of tech overload. Leaders are best positioned to implement organization-wide changes to reduce the number of tools used and alleviate the overwhelming feeling of helplessness caused by excessive options.

Recommendations for leaders include providing meaningful constraints on tool usage, tackling the root cause of tech overload, facing differences head-on, and avoiding the "credit card approach" of independent software purchases. By implementing these recommendations, organizations can help employees regain control over their work and reduce feelings of tech overload.
